Do you offer any customization options for your user management?

If you are an admin you can customize the user accounts under settings:



Under the label Global options you can now choose what a user account can see, edit, export, etc.:
These options are global, i.e. they apply for all users in your account.
If you want to adjust user-specific rules and rights, please get in touch.



Please see a detailed description of the global options below:

Users are not allowed to assign or remove tags
When switching on this option, no user will be eligible to assign or remove tags except for PATOffice admins. Tags may be used for a lot of different things, e.g. action proposals, technology areas, and so on.
Even though assigning tags is quite a powerful action, it indeed is a very good way to let your colleagues not only rate the patent but also categorize it beforehand.

Users are not allowed to add or remove assignments
Switching on this option means, that users (not admins) are not allowed to assign patents to colleagues.
Patents can then not be "forwarded" to other relevant colleagues that should also have a look.

Users are not allowed to see logging tab
Ticking this box means that users will not be allowed the history of all acitvities that users and admins have done in PATOffice.

Users are not allowed to export data
By switching on this button, your users will not be allowed to download any documents or graphs from the dashboard. Sometimes it makes sense to export several patent documents (as PDFs for example). Therefore keep this in mind.
Not being able to export any data from PATOffice, means that your users will only be able to work in PATOffice.

Users are not allowed to create new tags
This is the most common option we see with our customers.
As tags are currently a quite powerful tool in PATOffice, it makes sense to restrict the tag management to only a few people, respectively the admin only.
This especially finds relevance when it comes to action proposals. Normally action proposals are predefined and wisely chosen.
Adding various additional action proposals does not make sense when setting up an according strategy.
Please also keep in mind: Another spelling (another letter e.g.) already results in a new tag!

Users are not allowed to enable/disable monitor citations
Switching this on, will prohibit your users from enabling citation monitoring, i.e. once a user rates a patent, he is not allowed to switch on this function.
Citation monitoring means, that you get notified about other patents that cite this rated patent.

Users are not allowed to enable/disable monitor family
Switching this on, will prohibit your users from enabling family monitoring, i.e. once a user rates a patent, he is not allowed to switch on this function.
Family monitoring means, that you get notified about other patents that belong to the same family.

Users are not allowed to enable/disable monitor status.
Switching this on, will prohibit your users from enabling status monitoring, i.e. once a user rates a patent, he is not allowed to switch on this function.
Status monitoring means, that you get notified about status changes of this specific patent, e.g. once it gets published or similar.

Users see all monitoring profiles on their dashboard
Switching this on means that all your users will see all your companie's monitoring profiles. While we are trying to automize most of the IP management steps in PATOffice, certain users normally get only certain documents based on a specified set of rules. Therefore it might make sense to show users only those monitoring profiles that are relevant to them.
By switching this off, you may restrict the view of your users to only a few monitoring profiles on their dashboards.

For admins / users inactive monitoring profiles are hidden on dashboard
By switching on this option, neither admins nor users see any inactive monitoring profiles within their dashboards. Admins may for sure activate or deactivate monitoring profiles in their monitoring settings accordingly, to make them visible again.

Users are not allowed to search within PATOffice
By switching on this function, users will not see the search tab in their right navigation bar. Therefore they will for sure get to their search console and see the documents that they are asked to rate, however they are not allowed to search the company-wide document/patent database. This is then only available to admins.

Users are not allowed to set table settings for result list
Ticking this box means that users will not be able to change the table view on their end. The table view, i.e. which columns are shown and in which order, will then be predefined by the admin beforehand or along the way, but users may not change this set up.

Users are not allowed to visualize search results
Ticking this box limits the user when it comes to visualizing the results. PATOffice is able to visualize results / hits directly in PATOffice, by e.g. showing a map with according applications or diagrams that show a comparison between various applicants. Checking this box will prohibit users to look at according visualizations.

Users are not allowed to select search presets
This function is a bit softer than the one above. If your users do have access to the PATOffice search of your individual database, you can limit the ability to get access to saved searches.
You might have saves previous searches, that you do not want to share with your whole team.

Users are allowed to delete comments/rating
By switching on this option users will be allowed to delete their comments and/or their ratings. Switching it off means, that users will not be able to edit or delete their comments. If users will re-evaluate they will need to add a new comment, leaving the old one in the feed as well.
